Identify potential problems and trends, propose solutions and ensure care is not delayed. Daily Operations Tasks. • Understanding and knowing therapy workflow, and utilize Intranet and Sharepoint to remain current of all policies and procedures. • Following up on the initial evaluation 1 business day after appointment, and complete an initial file check. • Review the initial evaluation to screen for possible clinical concerns, using the initial evaluation checklist. • Follow up on every assigned patient file, as directed by Team Lead or Manager. • Maintaining an email inbox • Maintaining and understanding all needs and wants (refer to the special handling document) of our customers. • Ensuring that you are documenting and noting everything (all forms of communication, all emails that are sent between parties, all documents uploaded and sent, all levels of care that are certified or denied) No abbreviations on any documentation tasks are acceptable. • Making sure that all authorization and approval are received so that certification is sent appropriately and on time. • Ensuring that we have a complete file at all times with a prescription, return to work form, initial evaluation, progress notes, certifications, and discharge summary. • Maintaining the Service Dates tab with appropriate dates of service. • Ensuring that all files are sent to the PT Consultant appropriately and every level of care thereafter; that the full review (document and phone call) are relayed to all parties. • All voice mails are to be returned (with a phone call) in no more than 24 hours while maintaining Phone Etiquette policy. • Ensure that all inbound and outbound phone calls comply appropriate phone etiquette policy. • Ensuring that all involved parties are notified on any status change and/or updates with claims, using provided templates. • Managing the fax inbound queue and uploading them to the appropriate claim with the appropriate description of the documentation in a timely manner.
